Position Purpose:

To provide administration support to 20 Residential Sales Agents and some assistance to the Property Management Team along with maintaining the operations of the day-to-day running of the office.

  • Open and Close the office on a daily basis and also provide cover if needed for Saturday office hours.
  • Draft residential agreements for Tender and Auction agreements and upload into the REINZ system for approval and public view via MyInfo through the Barfoot & Thompson website.
  • Respond and liaise with both Vendor and Purchaser Solicitors via email or telephone regarding the settlements, sales deposits, change of auction/tender agreements, agent instructions and other correspondence relating to the sale of the property or vendor requests.
  • Process checks and verify Vendor or Trust account details in the AML system.
  • Process Agent Listings via the Listing System, using LIM/Unit Title and other related information to advertise/market the listing on the four major websites - Barfoot & Thompson, TradeMe, One Roof and Realestate.co.nz
  • Order LIM reports and Unit Titles for the sales agents if requested.
  • Process Sale and Purchase agreements via the Daybook system and disbursement of funds to the Vendor Solicitor Trust account.
  • Send settlement statements to solicitors to confirm satisfaction of conditions to all property, multi-units, sections etc.
  • Reconcile all invoices via Approval Plus and pre-approve transactions for processing with the finance team.
  • Check and reconcile all sales and marketing deposits through the banking trust and advertising accounts.
  • Order marketing materials for the agents listings, signboards, open home times, online and digital advertising with flyers etc using Campaign Track and liasing with the marketing suppliers and services.
  • Approve all marketing material designed by the agents to be released for delivery via Campaign Track.
  • Set up weekly Tuesday meetings for the Sales Team i.e meeting room, connection of work laptop to HD, print any material for the meeting on the day etc.
  • Answer incoming calls for the Sales and Property Management Team and would also support and assist the Property Management team when needed i.e tenant collecting keys, contractors dropping/picking up keys etc
  • Respond to all correspondence and monitor the sales team inbox.
  • Prepare monthly team birthday's or any achievements and celebrate with morning tea etc.
