Beena Ryan

Currently working as the Delivery Lead for the S4 HANA team working on delivery Property & Rates project for Tauranga City Council. In June last year, I lead the successful delivery of their Property Management Project which involved migrating all the existing Leasing customers at Tauranga City Council from their heritage system into SAP S4 HANA. While I focus on project deliveries I also drive the deliverables from existing BAU Value Stream for bugs and enhancement fixes within S4 HANA Finance, Purchasing and Asset Modules.

In the Property Management Project I played two roles that of a Delivery Lead as well of a Product Owner.

Both of these roles meant I lead the scope/priorities negotiations conversations with the business as well driving these priorities from a delivery/deployment point of view with my delivery team as well as the vendor implementation partner.

Below are some of the key roles and responsibilities I've covered so far:

• Oversee all aspects of SAP application implementations from design to build to deployment, maintenance and support.
• Perform release management and oversee deployment/support during build and cutover phase
• Ensure close collaboration with the Implementation Partner and the deployment teams as well as any peripheral teams impacted by project deliveries such as the SAP C4 team or the SucessFactors Team
• Escalations with vendors and SLAs around project deliverables as well as BAU deliverables.
• Accountable for the deployment team to successfully deliver to plan and timelines
• Early communication on risks/dependencies/issues (technical or business related) so they are managed or accepted to set expectations with the stakeholders (business, digital leadership team, etc.) via Steering groups
• Mapping and Management of key stakeholders from top management to end users related to the scope of roll out
• Input into architectural design decisions, training, culture change, etc.
• Leverage technical knowledge to navigate functional requirements.
• Manage environmental changes such as preventative maintenance activities (kernel patching, security patching), refreshes, etc. with all the S4 teams, vendors, data migration team
• Outlined work plans, assessed resources and determined timelines for projects.
• Flesh out and coordinate cutover/deployment activities with the business, data migration, deployment teams, vendors, comms team, etc.
• Expanded personnel skill sets by mentoring junior team members.
• Work closely with my deployment my team including developers, functional specialists, testers, basis specialist and vendor partners to deliver project outcomes.

• Understanding of both operational and strategic customer data use cases in both transactional
  systems, personalization, and analytics.
• Understanding the pain points of Trade Sales Support & Account Managers in the context of dealing with customer contact data.
• Understanding how all systems capture customer contact data and how it can be harmonized and leveraged for projects such as CRM Implementation
• Creating a roadmap for Customer Data to prepare for the near term initiatives as well as the long Digital@Fletchers SAP S4 HANA roll out

Lead BA in the discovery phase for a large transformation programme and the role covers the below responsibilities:
• Working in a programme comprised of cross functional streams to gather requirements including technical and functional for discovery phase of the programme.
• Working with the architects to identify and design high level solutions for integrations and APIs where needed based off the requirements.
• Facilitate conversations with the stakeholders to present the technical or business process designs and constraints.
• Run prioritization sessions with conflicting stakeholders to land on highest value deliverables within the given time frames.
• Working with Delivery leads of multiple delivery teams to explain the requirements, sizing and doability.
• Explaining the breakdown of the requirements to the individual delivery teams.
• Work with the business to draw up roadmaps for certain areas with timelines and value drops or features that will be delivered.
• Work through the overlapping or cross over requirements between various capability teams.
• Compile data based reports of the progress made by the delivery teams to inform the value delivered within the time frame.
• Used tools like JIRA, Confluence, MIRO, etc.

Worked on a large business transformation programme in Digital and Data Streams where my responsibilities were:

• Work cross functionally to gather requirements
• Collaborate business stakeholders to understand requirements
• Work with CX and UI/UX teams to understand how the designs can create a positive customer experience
• Work with the developers to explain the requirements to get the right features delivered which have maximum impact on our customers.
• Work with the business SMEs to come up with a roadmap for each area
• Facilitate prioritization sessions to build a backlog which delivers high value/impact features by negotiating with conflicting stakeholders
• Constantly drive the customer centric design and delivery message across the teams
• Collate data on customer behaviour and progress of deliverables to the stakeholders

Over the 5 years at Frucor I played various roles such as Project Manager/ Senior Business Analyst and PMO Lead.

Key responsibilities Agile Software Development (requirements gathering, design thinking, writing user stories, prioritization, sprint planning, backlog grooming), business analysis, stakeholder management in New Zealand and Australia.
I was working as a lead BA on Master Data Management project and Global HRIS Successfactors project implementation.
Key projects I worked on:
1. Business migration into existing SAP instance (Including Data Migration)
2. Roll out Learning management system across AU and NZ - SABA Cloud based system
3. Helping design the one global template for a Global SuccessFactors roll out
4. Design and implement Recruitment system - LiveHire
5. Help design and implement Enterprise level Master Data Management system - DSP
6. Establish and run Master Data Governance Forum
7. Identify improvements across the Finance team and implement SAP based enhancements

Project highlights:

Digital Job Tracking System

• Worked as a Business analyst in an Agile team with in-house developers to develop a Digital job tracking system for Technicians to use out in the field.
• Document requirements as well as going around country with devices that need to be handed over to technicians via a Training session.
• Drive adoption of the device & digital platform post implementation by providing them support on any issues they faced
• Drive a feedback loop with Technicians based on relationships I've built during the project to enhance the Digital platform further for smoother operation post go-live
• Pinpointed inefficiencies in business processes and recommended improved policies.
• Identified bottlenecks in processes and implemented new and improved procedures and policies to ease friction and improve efficiency.
• Managed projects and served as primary liaison between client and multiple internal groups to clarify goals and meet quality standards and deadlines.
• Performed root cause analysis of data to develop counter-strategy and improve performance.
• Defined scope, budget and goal of projects and reported back to PMO team with project progress.
• Analyzed businesses to determine financial impact of potential investments to support risk assessment.
