Key Responsibilities
Health and Safety
- Leading and modelling the Ryman Characteristics, motivating, and inspiring your team and contractors to deliver work safely and to a high standard - ‘Do it safely or not at all’
- Encouraging team members and contractors to identify and raise health, safety & wellbeing risks and to report all incidents & near misses
- Actively involving team members in health, safety & wellbeing
- Verifying that all applicable health, safety and wellbeing induction, training, instructions, policy, and procedures are implemented and followed
- Verifying that contractor management systems and processes are followed
- Managing injury and return to work processes
- Ensuring the village is prepared for emergency response§ Maintaining oversight of the fire safety compliance, systems, and training of the village and coordinating the Fire Safety Officer duties
- Leading the investigations of moderate severity incidents, ensuring corrective actions are closed out in all incidents, and partnering with the VM and Ops HSW team on investigations into any high and critical incident investigations at the village
- Assisting with implementation and ensuring compliance of H&S village projects when introduced Facilities and Maintenance
- Ensuring any repairs and maintenance are undertaken in a timely manner with consideration of budgets
- Regularly engaging with the Regional Facilities Managers, alongside the Village Manager to discuss village projects
- Reviewing and authorising Works Orders to support Gardening and Maintenance teams
- Overseeing contractor management systems/ processes (Assura, Donesafe, Sitewise) and coordination of work at the Village
- Managing the 'permit to work' system
- Ensuring the owners checks/ IQP checks for the building warrant of fitness are always current
- Maintaining an overview of the annual preventative maintenance calendar
- Providing oversight and conducting a monthly analysis in conjunction with Village Manager of profit and loss, for repairs, maintenance, and gardening costs
- Managing unit refurbishments, scope of work and the refurbishment programme in conjunction with the Sales/ Maintenance teams
- Collaborating with the Clinical Manager to manage the refurbishment and turnaround of care rooms
- Performing fleet management of vehicles, golf carts, machinery and gardening equipment including reviewing Argus, WOFs, servicing and team member licences

- Partnering with Auditors prior to, and during, village audits and ensuring corrective actions are completed within the timeframes
- Promoting and adhering to the standards of the Health and Disability Sector Standards, DHB Service Specifications, and all legislation and regulations governing the operation of the facility.
- Adhering to all rules, policies, and procedures of Ryman Healthcare
- Anticipating resident needs and offering a solution before it is required
- Investigating and resolving issues with urgency and any adverse events/complaints are escalated as per the severity matrix
- Completing the inductions for your role within the required timeframe
- Working collaboratively with the village leadership team and Sales Advisor(s) to drive sales, ensuring full occupancy
- Holding and maintaining a duty managers certificate and ensuring the village maintains compliance for liquor license requirements
Leadership

- Leading and overseeing the delivery of all Village service functions including kitchen, housekeeping, gardening, maintenance, laundry, and administration
- Providing leadership at the Village in the absence of the Village Manager
- Conducting care centre show throughs to prospective residents and families as required
- Openly communicating in a simple, clear language that promotes respect and trust
- Providing leadership support to the Reception and Administration teams
- Treating everyone you come into contact with as part of your employment with respect and dignity
- Overseeing and actively participate in appropriate facility meetings following the terms of reference.
- Participating in LEAP programme§ Strictly observing and role modelling best practice in all appropriate infection control policies and matrix

- Actively managing the roster for Auxiliary teams ensuring adequate staffing levels are maintained and informing the Village Manager of anticipated recruitment needs
- Utilising chattR as a communication tool, keeping team members up-to-date and driving engagement
- Certifying the receipt of all required preemployment documentation including the citing of proof of work rights and proof of vaccination status
- Managing the recruitment and onboarding process in conjunction with the Village Manager, ensuring all new hires align with the Ryman's values
-Educating team members on the Ryman House Rules/Code of Conduct and policies to promote compliance
